Tabs for custom fields

Custom fields are organised into sets that are accessed via custom fields tabs. You click a tab to display its set of custom fields.

Tabs are restricted to certain case categories. This restriction determines which tabs (and hence, which custom fields) are potentially available at a case.

Permissions at both the custom field and the custom fields tab level determine whether any particular user can actually view (and possibly change) a field.

To access the custom tabs click Edit Tabs at the Custom Fields List. This is on the RHS within the details of the selected custom field.

The list of custom tabs is displayed.

A custom fields tab is not itself connected to either the Custom fields tab or the contact settings.

However custom fields are connected to one or the other. This is defined at Step 3 when they are created, see Create custom field.

When a tab is linked to a custom field, the tab gains this connection too.

You can see the custom fields tabs, their connections and the organisation of fields within tabs at the Custom Fields List. Here it is clear when tabs apply to case contact settings and when they apply to the Custom fields tab.

  1. Select List > Custom Fields from the main menu. The Custom Fields List appears.

  2. Click Edit Tabs.

    3. A window opens with the Custom Tab List.

  3. Click the New button .

  4. Enter the Label for the tab.
  5. Type in a Description if desired.
  6. If you want the tab (and hence, its custom fields) to be available to all categories of cases, leave the default All Categories checkbox ticked.

    7. Alternatively uncheck All Categories, click the Categories dropdown list and select the required categories. Click OK to complete this selection.

  7. The view and modify permissions for custom tabs are set the same way as for custom fields.

    8. In summary, you need to add security groups to the list on the right hand side in order to give those groups access to the custom fields tab.

    You also specify the level of access (view or modify). See Custom field security for full details.

    Note that if a custom tab is set so that it cannot be seen, all the custom fields that are organised by this tab will not be visible either.

    Similarly if the tab is set so that it cannot be modified, all the fields that are organised by this tab cannot be modified either.

  8. Click the Save icon .

To see the new tab in the Custom Tab List close and re-open it to refresh the list.

Note that you will not see a new custom tab at cases until it is linked to at least one custom field, see Connecting tabs above.

If a tab is no longer needed then uncheck its Active box and save it. The tab will no longer appear at cases. Be aware that all the custom fields that are organised by this tab will also be invisible at cases.
