Lab - Custom fields

Exercise 1

1. Select Lists > Custom Fields from the main menu
2. Click the new button .
3. Select any value from the Tab dropdown list.
4. Make sure that the Case (custom field tab) option is checked.
5. Enter your own Label for your custom field, such as Agility Follow up Assessment Due.
6. Select Date from the Data type dropdown list.
7. In Description, enter a brief explanation: Due date for client's Agility Follow up Assessment.
8. Click the Save button.

You are going to create a tab called Reports Due. If this tab already exists you do not need to create it again and can go to step 5 in this exercise.

Exercise 2

1. Click the Edit Tabs button on the top right hand side.
2. Add a new tab by clicking the New button .
3. Enter the Label for this tab: Reports Due and then click the Save button.
4. Close this window by clicking its X.
5. At the Custom Fields List, select your custom field. Change its Tab to the one you just created and save.
6. Close this window by clicking its X.
   

Now you can add the follow up assessment due date to your training case and see it displayed as a column at the Case List.

Add custom field information to client file:

Exercise 3

1. Open your training case from the Case List.
2. Click its Custom Fields tab.
3. Click the tab you created in Exercise 2.
4. Enter a date in your custom field.
5. Click the Save button .

Exercise 4

1. At the Case List click the Case List Criteria button .
2. Click the Columns tab.
3. Expand Custom Fields by clicking its expansion button . Note this may be a different icon, depending on the Appearance.
4. Locate your custom field, select it and click the Add>> button.
5. Click OK.

This makes your custom field a new column at the Case List, as you should see.

There will probably only be one case so far with a date in this new column, i.e. your training case. This column won't be particularly useful at the Case List until dates have been added to multiple cases.

Note also that we learned about security groups briefly in Employee administration. By default, all custom fields are available to the System Administrator security group. In this lab we made our custom field available only to this group.
