Lab - Templates

The screenshots on this page do not all reflect the new web version yet.

You need to create templates for a formatted text document, a Word document and an email.

You will recall from the previous lesson that all document templates are created and managed at the Document Template List.

Select Lists > Document Templates from the main menu to open the Document Template List.
Click the New button .
Select Formatted Text from the Template Type dropdown list and click OK.
Enter Progress Report in the Description field.
Click Save.
Make sure your template is selected in the list. You can enter template text in the lower half of the window.
Enter some standard text.
To insert a merge field, click Insert Merge Field, which is next to the formatting icons.
Locate Condition in the Case Details section of the merge field list and click Insert. Close the list.
Complete the document so that it provides a simple foundation for a progress report. This can be as simple or as detailed as you wish.
Click Save and close the templates list.

You might like to see your template in action. Go to your training case and add a formatted text document that uses your new template.

You may find it useful to begin by revising the lab exercise where you learned to Edit a Word document.

Select Lists > Document Templates from the main menu to open the Document Template List.
Click the New button .
Select Word from the Template Type dropdown list.
Leave Start with a blank file checked and click OK.
Enter a Description and click Save.
Open the new template from the list by clicking the download and edit icon to lock and download it to your computer. Locate the file and open in Word.

Once the template is open in Word, enter some text and then select Insert from the main menu and locate the Merge Fields window at the right hand side.

If this window has not already been installed in your copy of Word there are full instructions at Install Word add-in.

At the list of fields locate and open up Client Details. Select ClientFirstName and click Insert. Close the window.
Add some more standard text as you wish.
Close Word and click Save to make sure your changes are saved. The template now needs to be uploaded back into Case Manager. In the Locked document window locate your template, click its Upload icon and indicate its location on your computer.

As before, return to your training case and this time create a Word document with the new template.

Select Lists > Document Templates from the main menu to open the Document Template List.
Click the New button .
Select Formatted Text from the Template Type dropdown list and click OK.
Click OK.
Enter Rehabilitation Plan for in the Description (this will become the subject line of your email).
Click Save.
Use the same methods as in exercise 1 to enter the following text and merge fields in your template:
Hi <<EmployerFirstName>>

With reference to <<ClientFullName>>, attached is <<ClientGenderHisHer>> rehabilitation plan.

Click Save.
Copy the merge field <<ClientFullName>> and paste it into the template's Description field after Rehabilitation Plan for (step 5).
Click Save.
Leave the template list and go to the Documentation tab for your training case.
Click the Email button and select New Email from Template from the dropdown list.
Select the template you just created and inspect your email.
If you send the email it will appear in the document list. The case information appears as if you had typed it, rather than being retrieved by a computer.

You will find detailed information about document templates and merge fields in the rest of the site.

Now you can create document templates. In the next lab you will create an estimate template.
